Inventory
The Inventory section is dedicated to managing stock for catalog products and the list of suppliers.
A product's inventory is described by the following fields:
- Stock on hand: the quantity of the product available in inventory.
- Orderable anyway: indicates whether the product can be ordered even if it is out of stock.
- Reorder lead time: number of days needed to reorder from suppliers after the product is ordered.
- Reorder point: the stock threshold below which the product is considered for reorder to avoid stockouts.
- Stock level: the maximum quantity reached in inventory after a reorder.
Open2b manages inventory in real time. When a customer places an order, the ordered quantities are automatically deducted from stock on hand. It is not possible to order products with unavailable quantities unless the option to allow orders even when out of stock is enabled (for example, when a supplier reorder is expected).
Open2b informs you in the Reorder List about reorder needs, recommending the list of products to reorder with their quantities.
These details are initially entered when products and SKUs are added and can be changed later.
Inventory type
Open2b manages product inventory that can be a real, distinct warehouse, part of an offline business's warehouse, or just a virtual inventory.
In each of these cases, inventory management with Open2b helps operations and enables better customer service.
The company can use a dedicated system to manage product inventory or, if no warehouse management system exists, use Open2b alone.
Management is simple and limited to automatic control of incoming and outgoing product flows, but it is sufficient to prevent customers from being unable to place an order due to stockouts, or orders being clearly incorrect in quantity. In addition, real-time availability control reduces the need for extensive manual stock checks.
SKUs
In Inventory > SKUs you will find all SKUs.
To find the SKU you want to work on, you can use:
- The filter at the top left of the list to narrow or search the SKUs displayed.
- The table column headers to sort the SKU list by different criteria, in ascending or descending order.
- The navigation at the bottom left of the SKU list to move back and forth through the list.
- Stock on hand can only be changed through inventory movements, described in the next section. All other fields can be edited from this section of the admin.
Edit inventory for a SKU
- Go to the Inventory section.
- Go to the SKUs subsection.
- Click the SKU whose inventory you want to edit.
- Edit the fields as needed. If you want to perform stock-in or stock-out movements, click edit to go directly to the Movements subsection.
- Click Save.
Delete one or more SKUs
Note
You cannot delete a product's primary SKU directly, which is the first SKU created for that product.
In this case, first swap the code of the SKU to delete with another SKU of the same product so the code to be deleted is no longer the primary SKU.
- Go to the Inventory section.
- Go to the SKUs subsection.
- Select the checkbox to the right of the SKUs you want to delete.
- Click Delete. A confirmation window will open.
- Verify you have selected the correct SKUs and click OK.
Movements
Open2b stores all inventory movements. In addition to manual entries, movement rows are generated automatically when a customer places an order, with the reference order indicated for the stock-out movement.
Manually adjust stock on hand
To adjust stock on hand, you need to perform stock-in and stock-out operations.
- Go to the Inventory section.
- Go to the Movements subsection.
- Click New Movement.
- Enter the SKU code, the moved quantity (positive for stock-in and negative for stock-out), and optionally a movement description.
- Click Add.
Reorder List
The Reorder List section shows all SKUs that must be reordered from suppliers or need stock replenishment because they fell below the preset reorder point.
The reorder quantity recommended by Open2b is the difference between the stock level and stock on hand.
To print the list of SKUs to reorder, click Print; a window will open that lets you print the list.
Suppliers
In this section you manage suppliers. You can add, edit, and delete supplier records.
Add a supplier
- Go to the Inventory section.
- Go to the Suppliers subsection.
- Click New Supplier.
- Fill in the supplier fields.
- Click Add.
Edit a supplier
- Go to the Inventory section.
- Go to the Suppliers subsection.
- Click the supplier you want to edit.
- Edit the desired information.
- Click Save.
Delete one or more suppliers
- Go to the Inventory section.
- Go to the Suppliers subsection.
- Select the checkbox to the right of the suppliers you want to delete.
- Click Delete. A confirmation window will open.
- Verify you have selected the correct suppliers and click OK.
