Customer management
Add a customer
- Go to the Customers section.
- Go to the Customers subsection.
- Click New Customer.
- Fill in the fields with the customer data. If the customer is a company, in addition to the Company field, fill in the VAT number field.
- Select the customer group, if any, to associate with the customer.
- If you want the customer to be able to log in to the site, select Can log in to the site and enter a password in the appropriate field.
- Click Add.
Open2b lets you manage multiple contacts for each customer. A business customer can have multiple associated contacts, such as one for the purchasing manager and one for the accounting manager. Likewise, a private customer could have an alternate email address or other contact methods.
If multiple customers in Open2b have the same primary email address, only one of them can be enabled to log in to the site. Contacts, on the other hand, let you manage email addresses freely without limitations.
Add a contact to a customer
- Go to the Customers section.
- Go to the Customers subsection.
- Select the customer to whom you want to add the contact. Use search and the filters by country, province, and group to find them more easily. In search, you can enter any element (email, last name, etc.) related to the customer you are looking for.
- Click New contact...
- You can fill in the Name fields (the only required field), Phone, Email, and Notes.
- Click Add.
To edit the contact later, just click the contact row and make the changes you want.
Edit a customer
- Go to the Customers section.
- Go to the Customers subsection.
- Select the customer you want to edit. Use search and the filters by country, province, and group to find them more easily. In search, you can enter any element (email, last name, etc.) related to the customer you are looking for.
- Select Edit for the information you want to change.
- Edit the fields as desired.
- Click Save.
Change a customer's password
Note: The customer can change their password directly from the store. However, you may still need to change a customer's password from the admin.
- Go to the Customers section.
- Go to the Customers subsection.
- Select the customer whose password you want to change.
- Click Edit in the second panel on the right.
- Click Change. If the button is not clickable, select Can log in to the site to allow the customer to log in to the site.
- Enter the new password, which must be 6 to 16 characters long.
- Click Save.
Delete one or more customers
- Go to the Customers section.
- Go to the Customers subsection.
- Select the checkboxes on the right for the customers you want to delete.
- Click Delete. A new confirmation window will open.
- Verify you selected the correct customers and click OK.
View a customer's orders, quotes, and other documents
In a customer's record, you can view the orders placed by the customer, their quotes, invoices, receipts, and DDTs. From the same record, you can create new orders, quotes, and other documents for the customer.
Manage notes for a customer
It is often convenient to remember information about a customer and have it always available in the customer record.
- Go to the Customers section.
- Go to the Customers subsection.
- Select the customer record for which you want to manage notes.
- To add a note, click the green + symbol in the notes panel.
- To edit a note, click the note date.
- To delete a note, click the brown x symbol.
