Importing a sale
When an active eBay listing ends with the sale of one or more items, a sale is automatically generated and visible in the Sales section of the eBay app. Sales can then be imported into Open2b for subsequent management as orders.
Sales are associated with the Seller and are imported into the eBay app whether they are associated with a listing published by the eBay app of the store managed with Open2b, or associated with listings published externally through other stores managed with Open2b, tools provided by eBay, or third parties. Therefore, all sales are imported into every eBay app.
The information visible in the Sales section of the eBay app is:
- Open2b order associated with the sale
- Sale date
- Buyer
- Listing number
- Order total, including shipping costs
The following cases can occur and lead to different behaviors during import:
- The sale is associated with a listing created in the Open2b eBay app: importing the sale automatically triggers a stock movement with the deduction of the ordered inventory
- The sale is not associated with a listing created in the Open2b eBay app, but is still related to a product in the Open2b catalog: importing the sale does not trigger any stock movement
- The sale is associated neither with a listing created in the Open2b eBay app nor with a product in the Open2b catalog: importing the sale does not trigger any stock movement
- Sales completed by a single customer are grouped in eBay into a single combined order: importing the combined order causes already imported sales to be aggregated. The listing code of the combined order is given by the list of codes of the individual listings that make it up.
Importing the combined order does not trigger any stock movement, since it already happened for sales associated with listings created in the store eBay app - The sale is not yet complete because the buyer's shipping address data is missing: the Buyer field appears blank.
Importing the sale automatically triggers stock movement with the deduction of ordered inventory only for sales associated with listings created in the store eBay app
Canceling a sale
To cancel a sale in the Open2b eBay app:
- In the Sales section click the checkbox next to the sales you want to cancel
- Click Cancel sales. A popup will open asking whether to restore inventory for listings managed in the app. The canceled sale will be recognizable because the listing number will appear crossed out by a horizontal line
The following cases can occur and lead to different behaviors during sale cancellation:
- The sale is associated with a listing created in the Open2b eBay app: canceling the sale allows inventory to be restored
- The sale is not associated with a listing created in the Open2b eBay app, but is still related to a product in the Open2b catalog: canceling the sale does not allow inventory to be restored
- The sale is associated neither with a listing created in the Open2b eBay app nor with a product in the Open2b catalog: canceling the sale does not allow inventory to be restored
- Sales completed by a single customer are grouped in eBay into a single combined order: canceling the combined order allows inventory to be restored only for sales associated with listings created in the store eBay app
- The sale is not yet complete because the buyer's shipping address data is missing: canceling the sale allows inventory to be restored only for sales associated with listings created in the store eBay app
Creating an order in Open2b
To create orders in Open2b:
- In the Sales section click the checkbox next to the sales you want to create orders from
- Click Create orders: orders will be generated in Open2b for management and the order number assigned will appear in the sales list
- Check the Operation Results section to see if there are warnings, which do not prevent order creation, or errors that prevented order creation
The following cases can occur and lead to different behaviors when creating an order in Open2b or canceling it:
- The sale is associated with a listing created in the Open2b eBay app: creating the order in Open2b automatically assigns the correct VAT class associated with the order line and separates VAT.
Canceling the order in Open2b allows inventory to be restored - The sale is not associated with a listing created in the Open2b eBay app, but is still related to a product in the Open2b catalog: creating the order in Open2b automatically assigns the correct VAT class associated with the order line and separates VAT
Canceling the order in Open2b does not allow inventory to be restored - The sale is associated neither with a listing created in the Open2b eBay app nor with a product in the Open2b catalog: creating the order in Open2b does not automatically assign the correct VAT class associated with the order line and separate VAT. You will need to separate VAT from the gross amount present in the order line and then select the VAT class to associate.
Canceling the order in Open2b does not allow inventory to be restored - Sales completed by a single customer are grouped in eBay into a single combined order: creating the order in Open2b automatically assigns the correct VAT class associated with the order line and separates VAT only for sales associated with listings created in the store eBay app or products in the Open2b catalog.
