Import/Export

Products can be added and updated one by one in the admin. To add new products or SKUs and edit existing ones, you can use a bulk import via Excel files. This is especially recommended when you manage a large number of products or updates are frequent.

In addition to importing, you can export an Excel file with all products and SKUs in the catalog.

Note

If the Excel file contains multiple sheets, only the first sheet will be read and the others will be ignored.

The fields to import can appear in the Excel file in any order. During the import procedure you must indicate, in the appropriate section of the admin, the order in which fields appear in the Excel file.

Below are the fields that can be imported. Length indicates the maximum length in characters for text fields.

Field Description Length
Product Code Product code. The system groups all SKUs that share the same product code. 32
SKU Code * Code of the individual SKU. 32
Name * Product name. 120
Price ... SKU price for a price list; it must be a number greater than zero. Leave empty if the SKU has no price in this price list.
VAT class VAT class code. The VAT class must already exist in Open2b with this code. 32
Departments * Import code for the product's departments. If you want to add a product to multiple departments (up to five), separate the department codes with a comma. Departments must already exist in Open2b with these codes. 32
Position

Relative position of the product compared to other products visible to customers in the store. Enter:

  • 0 for High,
  • 1 for Medium-High,
  • 2 for Medium,
  • 3 for Medium-Low,
  • 4 for Low
Weight Weight in kilograms of the product SKU, must be a number greater than or equal to zero.
New Indicates whether the product is new. Enter 1 if new, 0 if not new.
Visible in store Product visibility in the store. Enter 1 if visible, 0 if not visible.
Orderable online Product sale availability in the store. Enter 1 if for sale, 0 if not for sale.
Show price Product price visibility in the store. Enter 1 if the price is visible, 0 if not visible.
Featured on home page Highlight the product on the store home page. Enter 1 if featured, 0 if not featured.
Availability date Date when the product will be available. Before this date, the product can still be pre-ordered.
Manufacturer Manufacturer code. The manufacturer must already exist in Open2b with this code. 32
Supplier Supplier code. The supplier must already exist in Open2b with this code. 32
Variant One Code of the first variant. The variant must already exist in Open2b with this code. 32
Variant Two Code of the second variant. The variant must already exist in Open2b with this code. 32
Variant Three Code of the third variant. The variant must already exist in Open2b with this code. 32
Option One Code of the first option. The option must already exist in Open2b with this code. 32
Option Two Code of the second option. The option must already exist in Open2b with this code. 32
Option Three Code of the third option. The option must already exist in Open2b with this code. 32
Stock on hand SKU quantity currently in stock. Must be a number greater than or equal to zero.
Stock level Inventory quantity level for the SKU to restore if available quantity drops below the reorder point. Must be a number greater than or equal to zero.
Reorder point Inventory quantity level below which a notice to restore stock is automatically triggered. Must be a number greater than or equal to zero.
Minimum orderable quantity Minimum quantity a customer can order in a single order. Must be a number greater than or equal to zero.
Maximum orderable quantity Maximum quantity a customer can order in a single order. Must be a number greater than or equal to zero and cannot be lower than the minimum orderable quantity, if present.
Orderable even if out of stock Allows the SKU to be sold even if stock on hand is zero. Enter 1 if orderable, 0 if not orderable.
Reorder lead time Days within which the SKU is available for shipping once ordered. Must be a number greater than or equal to zero.
Short description Short product description. 255
Long description Long product description; it can contain HTML code. 65535
Technical sheet Product technical sheet, can contain HTML code. 65535
Page title Product page title for indexing; if not present, the name is used. 255
Meta description Product page description for indexing; if not present, the short description is used. 255
Keywords Product page keywords for indexing. 255
Request info Description of the type of requests a customer can make after adding the product to the cart for a quote request. 255
Supplier code SKU code used by the supplier. 32
Barcode SKU barcode. Can be in EAN, UPC, or ISBN formats. 14
Quote only The product can be quoted.
Minimum quotable quantity Minimum product quantity allowed to request a quote. Must be a number greater than or equal to zero and cannot be lower than the minimum or maximum orderable quantities, if present.
Width Width in centimeters.
Height Height in centimeters.
Depth Depth in centimeters.

Fields marked with an asterisk * ( "SKU Code", "Name", and "Departments" ) are required for products not yet in the catalog and therefore to be added. If the product is already present and will be updated, the only required field is "SKU Code".

Note

If there are multiple SKUs for the same product, for fields that refer to the product and are therefore common to all its SKUs (for example minimum or maximum orderable quantity), the value from the last imported SKU will be used.

Import products

  1. Go to the Catalog section.
  2. Go to the Import/Export subsection.
  3. Next to Excel File click Browse (sometimes called Browse or Choose). A file selection window will open.
  4. Select the Excel file with the products to import from your device.
  5. Select the language of the texts to import, if present, such as name and descriptions.
  6. Select Do not consider the first row of the Excel file if, for example, the first row contains field names.
  7. Select a field from the list and then click Add to add it to the list of fields to import; repeat for each field to import. To select multiple fields at once, hold SHIFT (for consecutive fields) or CTRL (for specific selections).
  8. Click Import and wait for the import to finish. It may take a few minutes.

Export products

  1. Go to the Catalog section.
  2. Go to the Import/Export subsection.
  3. Select the Export Excel tab.
  4. Choose the language of the texts to export if the menu is available.
  5. Select Add a header with field names if you want the first row of the Excel file to contain the exported field names.
  6. Select a field from the list and then click Add to add it to the list of fields to export, repeating for each field to export. To select multiple fields at once, hold SHIFT (for consecutive fields) or CTRL (for specific selections).
  7. Click Export and wait for the export to finish. It may take a few minutes.
