Products

The Products subsection of the Catalog section is dedicated to managing catalog products. In this section you can:

The subsection opens with the list of all products in the catalog.

At the top right of the product list there are buttons to add a new product and to delete products.

On the left there is the search function, the filter by manufacturer, and the list of departments to navigate the department structure. This tool makes it easier to find the product you want to work on and is useful if the list is large and spread across multiple pages. The Customer group menu lets you view product prices for a specific customer group.

Initially, products are listed by last modified date to highlight the most recent changes, but Open2b lets you choose other sorting criteria by clicking the column headers, for example alphabetical order, highest or lowest sale price, etc...

Stock on hand for a new product, the reorder point, and the stock level are initially entered when adding a new product and can later be edited in the Stock on hand subsection of the Inventory section.

Add a product

  1. Go to the Catalog section.
  2. Click New Product. The product creation page opens.
  3. Fill in the product fields as desired. Fields marked with an asterisk * are required. If you manage multiple languages, select the tabs with flags to enter text in each language.
  4. Click Add

The following table describes the product fields on the page:

Code Product inventory code. This code will also be assigned to the product's first SKU.
Supplier code SKU code used by the supplier.
Departments Departments in which to place the product. If a department does not yet exist, you must create it before adding the product. Products can be added only to terminal departments, i.e., departments with no sub-departments. A product can be added to up to 5 different departments.
Manufacturer Manufacturer name or product brand.
VAT class Product VAT class. The VAT to apply is determined by the combination of the product VAT class and the customer's tax area.
Unit of measure Unit of measure.
Supplier Supplier.
Barcode Barcode. Only EAN, UPC, and ISBN formats are supported.
Weight Product weight expressed in kilograms. Weight can be used to calculate shipping costs.
Presentation and sales Product status:
  • Visible in store: the product is visible in the store and may or may not be for sale depending on the options below.
  • Featured on the home page: the product is shown on the store's home page.
  • New: the product will be displayed on the new arrivals page.
  • Show price: the product price is shown to customers.
  • Orderable online: the product can be purchased by customers (as long as other factors do not prevent purchase, such as lack of stock). You can set a minimum and maximum orderable quantity.
  • Quote only for a minimum quantity of: the customer can request a quote for the product (Unlimited edition only) for a quantity equal to or greater than the minimum. The minimum quantity is always the maximum orderable quantity plus one.
  • Allow requests when the cart is: indicates whether the customer is allowed to add specific requests for the product in the cart. You can also suggest the type of requests they can make by clicking the Requests… button.
  • Available from date: indicates that the product is not immediately available but will be on a certain date. The product will still be pre-orderable by the customer.
  • Position: determines the order in which the product is displayed relative to other products. A product with a higher position will be shown before a product with a lower position, unless the customer chooses sorting by name or price.
Inventory When creating the product, you need to set the inventory data for the first SKU.
  • Stock on hand: quantity available in inventory.
  • Reorder point: threshold below which stock on hand should not fall. If stock on hand drops below the reorder point, the product will be listed in the Reorder List subsection of the Inventory section.
  • Stock level: level to which stock on hand should be restored after a supplier reorder. The stock level is used to determine the reorder quantity in the Reorder List.
Prices A SKU has a price for each price list. Product prices for each customer group are determined by the product's SKU prices.
Name Product name.
Short description Description shown when the product is listed with other products, for example on the home page and department pages.
Long description Description shown on the product page.

If there are validation errors, each field with incorrect values will be followed by a message describing the error. If there are no errors, the product page will be shown where you can fill in additional information if desired.

The product page has several tabs at the top where you can manage different aspects of the product:

Search for a product

To search for a product, use the filters in Catalog > Products, on the left side of the product list. You can search products using the search function or by manufacturer.

There is also a list of departments where products are placed. Another way to speed up product search is to select the column headers of the product list to sort products in ascending or descending order by:

Edit a product

  1. Go to the Catalog section.
  2. Search for the product to edit.
  3. Click the product to edit.
  4. Edit one or more fields in the same tab and click Save in that tab.
  5. Repeat the previous step if you want to edit fields in other tabs.

Delete one or more products

Warning

Deleting a product will remove all of its SKUs and images.

  1. Go to the Catalog section.
  2. Search for the products to delete.
  3. Select the checkbox for the product or products you want to delete.
  4. Click Delete. A confirmation window will open.
  5. Verify you selected the correct product or products and click OK.
